Guide: Inventory — never run short mid-job

Inventory answers three questions continuously: what do we have, where is it, and what's about to run out. Here's how to get all three answered with the least typing possible.

Set up: items, locations, reorder points

Give every item a reorder point — the count where you'd want to order more. That single number powers the alerts, the dashboard, and the radar. Locations map to reality: the warehouse, the trailer, the job site. Suppliers hang off items so "who do we order this from" is never a memory test.

Receive stock with your camera

The slowest part of inventory is typing it in, so don't. In Receive Stock, photograph the delivery, the shelf, or the supplier receipt — the scan detects the items and drafts the entries with names, quantities, and categories. It reads your existing item list first, so a restock matches the item you already track instead of creating a duplicate. Review, fix, save.

The Stockout Radar

The dashboard's radar watches stock levels as you log usage and projects run-out dates — not just "low now" but "gone by Thursday at this pace." Items show as Need with the quantity to order and whether it's been ordered yet. Log stock movements (a pull, a sale, a job draw) and the projections sharpen.

Orders, alerts, and the morning briefing

Track what's on order so "low but incoming" doesn't panic anyone. The Alerts view collects everything below its reorder point; the morning briefing rolls up what needs attention today — materials needed, not yet ordered.

Crew gear and vehicles

Inventory also tracks the stuff that isn't stock: Crew & Tools (who has the hammer drill) and Vehicles. Assets get owners, so gear stops walking off.

Synced to the field

Job Sites crews see and pull the same stock — materials drawn on site come off the counts the warehouse sees, and offline pulls sync when the signal comes back. One inventory, every location.
